Getting started

Logging in

🎬 Tour video: Welcome — your whole shop in 90 seconds

  1. Go to app.a1repairflow.com/admin/login.php (or your own shop URL followed by /admin/).
  2. Enter your email or username and password, then click Log in →.
  3. Tick Remember me (30 days) on a trusted device to stay signed in.
  4. Forgot your password? Click Forgot password? and follow the email instructions.

The login page follows your browser language — English by default, Danish for Danish browsers. You can force a language with the English · Dansk links under the form.

Tip: each staff member should have their own login (see Users & roles below). Never share one

account — reports, task boards and time tracking are all per user.

The dashboard — your morning view

🎬 Tour video: Dashboard

The dashboard (Home) is the first screen after login and shows the live state of the shop:

Opening balance

Each morning the dashboard asks for the opening balance — the cash in the drawer when the shop opened. Enter it and click Save opening balance. This is required before the day can be Z-closed in the evening (see Reports & day close).

Users & roles

🎬 Tour video: Users & roles

Find it under Users (top-right team icon → Users, or /admin/users.php).

a1RepairFlow ships four roles:

RoleCan do
Super AdminEverything, including deleting other admins
AdminSettings, prices, users
TechnicianTickets + repairs
SellerPOS / shop only

Adding a team member

  1. Click ➕ New user.
  2. Fill in Name, Email and optionally Phone.
  3. Pick a Role and (for multi-branch shops) a Default branch — the branch they land on after login. None means all branches.
  4. Set an Upload PIN (4 digits) — this lets the user open /upload/ on their phone, enter the PIN, and attach photos directly to tickets. Leave empty to disable.
  5. Set a Password (minimum 8 characters) and click Save.

The user can now log in with their own email and password. Use Show deactivated to see and re-activate former staff; deactivating keeps their history intact.

First-day checklist

  1. Set your shop details — Settings → Shop (name, address, phone, email; these appear on receipts and invoices).
  2. Check VAT settings — Settings → VAT (standard rate and margin-VAT for used goods).
  3. Review your price catalog — the platform preloads 700+ device models with services; adjust prices to yours (see Products & inventory → Services & device catalog).
  4. Create your team's users with the right roles.
  5. Install the booking widget on your website (see Your website → Booking widget).
  6. Send yourself a test booking from your own site and watch it appear under Bookings & Leads — that's the whole loop working.
